1. Who we are

The legal entity who will be the data controller and processor of your data in relation to the Service Plan is Volvo Car UK Limited (company registration no 02281044) a company registered in United Kingdom and with address Scandinavia House, Norreys Drive, Maidenhead, United Kingdom, SL6 4FL a legal entity, hereinafter referred to as, “we”, “us” or “our”.



2. What personal data we process and why

We process the following personal data In order to to administer and fulfil your Service Plan:
• Your full name and contact details (postal address, email address and phone number). We process this data in order to be able to provide you with a Service Plan quotation, process payment and administer and fulfil the Service Plan.
• Your vehicle’s registration number and VIN. We process this data in order to be able to provide you with a Service Plan quotation.

The legal basis for the processing of your personal data in connection with (i) providing you with a Service Plan quotation (ii) administering and fulfilling the Service Plan is to fulfill our contractual obligations.

3. How long do we keep your personal data

If you do not finalise the step where you pay for the Service Plan, your personal data mentioned above will be stored for 60 days after you have been sent the quotation. We do this in order for you to be able to proceed in purcahasing the Service Plan and for us to assist you during this period. We will retain your personal data up to five (5) years after you are no longer registered as an owner or driver of a Volvo vehicle. In relation to purchases other than vehicles, we will retain your personal data for up to twelve (12) months after your purchase.

Please note that we will retain your personal data up to twelve (12) months after you have opted-out from receiving further marketing communication material from us.

4. Who we share your personal data with

We will process your personal data and we will also share your personal data with the following processors (who process the personal data on our behalf):
• EMaC Limited – for (i) providing the Service Plan quotation (ii) administer payment for the Service Plan (iii) administration and fulfilment of the Service Plan
• Authorised Volvo retailer(s) – for administration of the service plan
We have entered into data processing agreement with each processor who is limited by contract in their ability to use your personal data for any purpose other than to provide services for us. Each processor has an obligation to keep the information confidential and only process the personal data in compliance with the data processing agreement in place.
Your personal data may be transferred to a country outside the European Economic Area. If so, such transfer will be based on the standard contractual clauses approved by the EU Commission. 5. Your rights in relation to the personal data processing we perform

You have specific legal rights granted by the UK General Data Protection Regulation (UK GDPR) relating to the personal data we process about you. You can withdraw your consent or object to our processing of your data, access the data we hold about you, ask for rectification or restriction of your data, request to have your data ported to another entity, request that we delete your data, and finally you can file a complaint with a data protection supervisory authority.

7. Changes to our Privacy Notice

We reserve the right, at our discretion, to modify our privacy practices and update and make changes to this privacy notice at any time. For this reason, we rel="noopener noreferrer" encourage you to read this privacy notice and our Privacy Policy thoroughly and to refer to them on an ongoing basis. This privacy notice is current as of the date which appears at the bottom of the document. We will treat your personal data in a manner consistent with the privacy notice under which they were collected, unless we have your consent to treat them differently.
