APPLICANT PRIVACY POLICY

SCOPE AND PURPOSE
This Applicant Privacy Notice applies to personal information collected from applicants for personnel positions with Volvo Car USA, LLC (“Volvo Car USA”) located in the United States. The term “personnel position” includes positions such as associates, staff, and those who work on a non-permanent basis, including contingent workers, temporary/casual and contract workers, independent contractors, consultants, and interns.
This Applicant Privacy Notice explains:
- what information we collect and why;
- how we share your information; and
- where to address your questions, requests for information, or complaints.
WHAT INFORMATION WE COLLECT AND WHY
When you apply for a position with the Company, we collect the following information from you.
- Identifiers: your e-mail address, contact details, telephone number, social security number, and a unique personal identifier used for our career site login, your Internet Protocol (IP) address
- Protected classifications: your race, national origin, any disabilities you may have, marital status, gender identity and expression, citizenship or citizenship status, and military or veteran status
- Pre-hire information: your resume/CV, references provided during the application/screening process, the results of any drug test completed as part of your application, and any additional personal information as may be included in your application, cover letter, or videos uploaded as part of the application process
- Professional information: your certifications and qualifications
- Education information: your school or university, your degree earned, your major, and your graduation date
- Internet or other electronic network activity information: your login information and details of your use of and communications sent through our career website
- Inferences from the foregoing: behavioral characteristic assessments made through review of application materials or through interviews
We process the personal information set forth above for the following purposes.
- To process your application: your identifiers, pre-hire information, professional information, education information, internet or other electronic network activity information and inferences from the foregoing
- To communicate with you: your identifiers, pre-hire information professional information, education information, internet or other electronic network activity information, and inferences from the foregoing
- To conduct reference checks: your identifiers, pre-hire information, professional information, and education information
- To assess your suitability: your identifiers, pre-hire information, professional information, education information, and inferences from the foregoing
- To monitor compliance with equal opportunities and non-discrimination policies, and comply with health, safety, and occupational health obligations: your pre-hire information and protected classifications where permitted by local law
- To assess your working capacity: your pre-hire information and protected classifications
- To manage our online recruitment processes: your identifiers and internet or other electronic network activity information
When you use our websites located at https://group.volvocars.com/careers and https://jobs.volvocars.com/ (together, “Careers Sites”), we collect your internet or other electronic network activity information automatically. This includes your usage and browsing actions or patterns when you access and use the Careers Sites. We use cookies and other tracking technologies to collect information on how you interact with the Careers Sites and to give you a personalized web experience. If you use an outside employment agency to apply for a personnel position with the Company, we collect the following personal information from them for the following purposes.
- Identifiers: your first and last name, phone number, and e-mail address, to manage agency submissions
- Pre-hire information: your resume/CV and any additional personal information as may be included in your application or cover letter so we can review your candidacy for the personnel position for which you applied
If you provide us with personal information of a reference or any other individual as part of your application, it is your responsibility to obtain consent from that individual prior to providing the information to us.
If we make a conditional offer to hire you, we will ask you for information so that we can carry out pre-hire checks. You must successfully complete pre-hire checks to progress to a final offer. We must confirm the identity of our staff and their right to work in the United States and seek assurance as to their trustworthiness, integrity and reliability. Therefore we collect the following personal information from you.
- Proof of identity: you must provide proof of your identity – you will be asked to attend our office with original documents
- References: we will contact your references using the details you provide in your application
If you choose to register for our Talent Network e-mail alerts, we will collect your identifiers including your e-mail address, country of residence, and your education and professional information as may appear on your resume. We use this information to provide you with details of vacancies that match your selected criteria.
HOW WE SHARE YOUR PERSONAL INFORMATION
Sharing within the preceding twelve (12) months: In the preceding twelve (12) months, the Company has shared the following categories of personal information with the following categories of entities for a business purpose.
- We have shared your identifiers, protected classifications, your professional information, and your pre-hire information with service providers such as drug-screening providers and our application software providers, who help us perform application-related services and functions.
- We have shared your identifiers and internet or other electronic network activity information with IT support to detect security incidents, protect against malicious, deceptive, fraudulent, or illegal activity, and to identify and repair website errors that impair functionality.
In the preceding twelve (12) months, the Company has not sold your personal information to third parties.
YOUR PERSONAL INFORMATION PRIVACY RIGHTS
As an applicant, we offer you the choice to exercise certain privacy rights regarding our processing of your personal information, subject to any exceptions provided under applicable law.
- Right to Access: You have the right to request what personal information we have collected, used, shared for a business purpose, and sold about you. Once we receive your request and confirm your identity, we will disclose to you the information we have collected about you.
- Right to Correct Inaccurate Information: You have the right to correct inaccurate personal information. Once we receive your request and confirm your identity, we will correct (and direct our service providers to correct) your personal information in our records.
- Right to Delete: You have the right to request the deletion of some or all the personal information that we collected about you, subject to certain exceptions. Once we receive your request and confirm your identity, we will delete (and direct our service providers to delete) your personal information from our records, unless an exception applies under applicable law.
- Right to Limit the Use or Disclosure of Sensitive Personal Information and/or Opt-out of Profiling: You have the right to ask us to limit the use or disclosure of sensitive personal information, but only where we use or disclose such information for a purpose other than those permitted by applicable law. You can also opt-out of profiling using automated decision-making, where such profiling has legal or similarly significant effects.
- Right to Opt-Out of Sale or Sharing of Personal Information: You have the right to opt-out of the sale of your personal information by us to third parties for monetary or other valuable consideration. In the event that we do sell your personal information, you may opt-out. Across all of our digital services, our collection and disclosure of personal information through the use of certain cookies may be deemed a sale or “sharing” under relevant privacy laws. To exercise your right to opt-out of the sale or sharing of your personal information to advertising partners through cookies, please use our OneTrust Cookie Manager or enable Global Privacy Control (GPC) on your browser to communicate your privacy preference. To exercise your privacy rights, you may submit a request by e-mail at employeeprivacy@volvocars.com. You may only submit two privacy rights requests within a 12-month period.
- If you are a resident of California, an authorized agent may make a verifiable consumer rights request related to your personal information. If you are an authorized agent making a request on behalf of a consumer, you must provide us with signed permission by the consumer that you are authorized to act on behalf of that consumer. If you are a legal entity, you must also provide us with documentation of your registration with the California Secretary of State. If you live in a state that gives you enhanced privacy rights – such as the California Privacy Rights Act (CPRA) - we will respond to all requests as required by law. If you live in a state that does not give you enhanced privacy rights, we will respond to all requests at our earliest opportunity.
To help us validate your standing for any rights request, you must provide us with sufficient information that allows us to reasonably verify you are the person about whom we collected the personal information and describe your request with sufficient detail to allow us to properly evaluate and respond to it. If we are not able to verify your identity for access and deletion requests with the information provided, we may ask you for additional pieces of information. If we deny your privacy rights request due to a lack of identifiable information or other legal reason, you may appeal our decision by contacting us by e-mail at employeeprivacy@volvocars.com.
